From Design to Doorstep: How Print-on-Demand Fulfillment Works
What actually happens between a winner claiming a prize and a shirt arriving at their door, explained step by step.
Print-on-demand means nothing is printed until someone needs it. No boxes of shirts in your spare room, no guessing sizes in advance. Here's how a prize gets from a design file to a winner's front door.
Step 1: The design becomes a print file
Every product needs a high-resolution file sized for its print area. A tee front, a hat front and a tote all have different shapes and limits. We prepare a print-ready PNG with a transparent background so only your artwork prints, not a white box around it.
Embroidered items like hats and beanies are a little different: the design is converted into stitches, so simple shapes and a few solid colors work best.
Step 2: The product is matched to a real item
Each product in the catalog is linked to a specific item at our print partner: a particular shirt model, color and size. When a winner picks size L in black, that maps to one exact item. One-size products like hats, totes and sticker packs skip the size step entirely.
Step 3: The winner claims the prize
When your giveaway ends, winners are drawn automatically and get an email with a private claim link. They have seven days to enter a shipping address (and size, if the product has sizes). If someone doesn't claim in time, a new winner is drawn.
Step 4: The order is sent to the print partner
As soon as a claim is submitted, an order goes to the print partner with the print file, the exact product and the address. No manual copying, no spreadsheet.
Step 5: Printing and quality check
Most garments are printed direct-to-garment: the ink is printed straight onto the fabric, which handles full color and detail well. Hats and beanies are embroidered. Each item is checked before it's packed.
Typical production time is two to five business days, depending on the product and how busy the season is.
Step 6: Shipping and tracking
The item ships directly from the print partner to the winner, in plain packaging. When it ships, the order is updated with a tracking number and the winner gets a shipping email with the tracking link.

- Avoid very thin lines on embroidered products.
